Payment and Use Procedures

Your signed application and rental agreement form acknowledges full understanding and acceptance of the library’s Meeting Spaces Policy and these payment and use procedures.

Reserving space

  • Groups can make up to 24 reservations each year.
  • For Oak Park Public Library cardholders, meeting spaces may be reserved up to four months in advance.
  • For all other library cardholders, meeting spaces may be reserved up to one month in advance.
  • Reservations are taken for hours which the library building is open.
  • Building open and close times are prompt. No one is allowed inside the building before or after hours.
  • We suggest meetings begin 30 minutes after the building opens, and end the meeting 30 minutes before the building closes.

More about reservations

  • Requests made a week or less in advance are not guaranteed.
  • A signed application and rental agreement form must be submitted electronically. This can be done online or in person at the Main Library.
  • Forms submitted electronically are considered signed and acknowledge your acceptance of policy and payment and use procedures.
  • When approved, your space is reserved until payment is received. You may check the status of your reservation online or by phone 708.452.3409.
  • Once payment is received, your reservation will be confirmed. Cardholders must present their library card or photo ID on the day of their reservation before meeting space access will be granted.

Paying for space (for-profits only)

  • No deposit necessary.
  • Payment is due one week before your requested reservation date.
    • You will receive one notice for your payment due date.
    • The library does not send reminders.
    • If payment is not received, your reservation will not be confirmed and the space will be made available to rent to another group.
  • There are three ways to pay: credit card (VISA, AMEX, Mastercard, Mastercard Debit, and VISA Debit), check, and cash.
    • In person (credit card, check, cash): only at the Main Library

  • There are no refunds for confirmed reservations cancelled fewer than 14 days before the scheduled event.

Canceling or changing reservations

Parking

  • The Main Library underground parking garage offers two hours of free parking and is elevator accessible. Entrance is locked when the Main Library is closed. The kiosk accepts cash and credit cards. Rates: two-three hours: $1; three-four hours: $5; four-six hours: $10; six-12 hours: $20.
  • Dole Branch and Maze Branch: street parking.

Equipment

  • Requests are made at the time the reservation is requested.
  • Library staff can provide minimal assistance with library equipment.
  • Library staff cannot move materials or provide supplies.
    • Groups must provide their own nametags, paper, writing utensils, eating utensils, cups, etc.
  • Groups may not store anything in the library.

Set up

  • Requests are made at the time the reservation is requested.
  • At the Main Library:
    • All tables and chairs must be contained in the meeting rooms themselves.
    • Any changes to a confirmed reservation (setup, equipment, attendees, etc.) must be made no less than one week before the meeting or event.
  • At the branches, renters arrange tables and chairs to their preference.

Publicity

  • Confirmed meeting space rentals display on the library’s online calendar and are listed by the organization name listed in the reservation.
  • Groups may share paper flyers for community board postings.
    • Please use your own organization/organizer contact information—such as your website, your email, and your phone number—as well as the library building’s street address and floor/room name of the space you are renting.
    • Do not use the library logo or the library telephone number as a point of contact.
  • On the day of the event, digital signage at each branch will list the event and room name for wayfinding purposes.

Food and beverages

  • You may bring food and non-alcoholic beverages into meeting spaces. Heating sources such as hot plates or Sterno are prohibited.
  • Library staff cannot assist caterers in any way.
